Hospital locum pharmacist first-shift checklist

Hospital pharmacy assignments can differ considerably between departments and sites. Agree the actual role, induction and support before the first shift, then use this checklist with the hospital’s named contact.

Understand the department and assignment

Ask whether the work is ward-based, in the dispensary or within a specialist service, and identify the department and sites involved. Get the duties, expected workload, hours, breaks and any out-of-hours responsibilities stated clearly. A grade or job title says little about the assignment itself.

Discuss relevant recent hospital experience, systems familiarity and the work for which further orientation is needed. If prescribing or specialist duties are included, agree the evidence, scope and support specifically. Expect some hospital workflows to be new, even with strong community pharmacy experience.

Complete the agreed checks before starting

Confirm who reviews current registration, qualifications and role-specific evidence. GPhC registration applies to pharmacists in Great Britain; PSNI regulates pharmacists in Northern Ireland. Discuss relevant registration conditions or limitations with the checking contact.

For NHS appointments, agree the checks required under the NHS employment check standards and who provides and reviews each item. NHS Employers points out that a registration check is only one part of judging suitability. Keep identity and other sensitive documents within the designated private checking process.

Plan arrival and department induction

Identify the correct site, staff entrance, meeting point and person providing induction. Agree when it happens and how that time is included in the booking. A hospital site can have several departments; an address without an arrival plan is incomplete.

Ask the induction contact to walk through the relevant work areas, team responsibilities and local procedures. Include the routes for operational problems, incidents and urgent support. Identify where current medicines policies and specialist advice can be found, following the hospital’s own arrangements.

  • Department and named induction contact.
  • Work areas and local procedures for the assignment.
  • Current policies and approved reference resources.
  • Support, escalation and backup arrangements.

Arrange individual access to the required systems

List the systems actually needed for the agreed role, which may include prescribing, pharmacy, patient-record and communication systems. Ask who arranges each account, the required permissions and when access can be checked. Familiarity with the software is separate from authorised access at this hospital.

Check the approved workflow for documenting activity and communicating queries. If access is incomplete, identify the affected duties and agree the response with the appropriate hospital lead. Use the organisation’s access process; do not borrow credentials or copy records into personal tools.

Agree clinical support and the limits of the assignment

Name the pharmacist or team available for professional questions throughout the shift, with a backup route. For specialist work, identify the relevant local team and the point at which a query should be referred. Raise work outside the agreed competence or scope promptly.

If a placement includes several wards or sites, confirm how priorities are assigned, who can change them and how travel or additional induction affects the session. Keep any change to the duties, hours or support in the written booking record.

Prepare the handover and payment process

Agree where outstanding work is recorded and who receives it at the end of the shift or placement. Use the hospital’s approved records and communication process. Recruitment messages, invoices and personal preparation notes should not contain patient information.

Confirm the rate, agreed expenses, payer and process for approving hours before starting. With FindALocum introductions, the hospital or hiring organisation contracts with and pays the pharmacist directly. The separate booking fee is £19.99 + VAT per locum per calendar day worked, including part-days.

Common questions

Is hospital induction the same as a community PMR introduction?

The setting and duties differ. Hospital preparation should cover the department, relevant systems, local policies, support and handover for the actual assignment. Use the hospital’s induction arrangements.

Does a quoted grade show that someone is suitable?

No. Discuss the duties, recent relevant experience, competence, required evidence and available support for the particular assignment.

Can I register before hospital shifts are published?

Yes. Register your hospital experience, location and availability for review when suitable requests arise. FindALocum is building its network and cannot promise immediate work.
