Locum pharmacist cancellations: a cover plan

When a locum cancels, someone needs to coordinate the replacement search while pharmacy leadership decides how the branch will operate. Agree the contacts and process before you need them. Keep the booking terms and the pharmacy’s operational plan available to the people responding.

Agree cancellation contacts and terms in advance

Tell the pharmacist whom to contact if they cannot attend and provide a backup. Name the person who can make decisions for the pharmacy. Put these details in the booking confirmation.

Record the cancellation terms, including notice, notification method and any charges. There is no universal locum cancellation tariff. The commercial terms also do not replace the branch’s plan for a staffing gap.

Confirm what has changed

Note the branch, date and hours affected, whether this is a delay or cancellation, and when the message was received. Acknowledge it and name one person to coordinate the response.

Keep that person informed if colleagues contact possible replacements. Otherwise, two people may offer the same shift or assume someone else has confirmed it.

Use the agreed urgent contact route. Sending an email or a website form does not mean anyone has read it yet. Confirm support hours in advance and use the branch’s escalation contacts when a prompt operational decision is needed.

Ask pharmacy leadership to assess the day

Notify the appropriate lead and branch team. They need to review booked activity, staffing and the actions required by current procedures. Decisions about opening or changing services sit with those responsible for the pharmacy.

The GPhC standards cover safe management and competent staffing. Seeking a replacement is one part of the response. Keep patient-facing updates coordinated and accurate while availability is still being checked.

Send a complete replacement request

Give the address, workable start and finish times, duties, services, PMR, available team and proposed rate. State what differs from the original request and which requirements are essential.

If a changed start time or allocation of work could help, get the responsible pharmacy lead’s agreement and explain it to the proposed pharmacist. Review suitability and complete the required checks and induction even when the gap is urgent.

  • One person coordinates the response.
  • Branch, date and affected hours are confirmed.
  • Pharmacy leadership reviews operational consequences.
  • The replacement brief and proposed rate are current.
  • Checks, acceptance and induction are complete.
  • Everyone involved receives the final outcome.

Record the original booking and any replacement

Keep the original booking with its actual outcome and relevant messages. Record a replacement as a separate assignment with its own pharmacist, acceptance and terms.

Resolve charges or payment questions using the agreed terms and circumstances. FindALocum’s published booking fee is £19.99 + VAT per pharmacist per day worked; this guide does not add a cancellation charge.

If only part of a block is cancelled, identify the affected dates and confirm which remain booked. Update calendars and instructions to prevent an unnecessary journey.

Update the plan afterwards

Review whether contacts worked, the branch brief was ready and booking status stayed clear. Note what to improve, leaving out personal or health details about the pharmacist that are not needed.

Keep return contacts current, but plan for the possibility that familiar pharmacists are unavailable. FindALocum can assess a replacement enquiry; same-day cover and response times are not guaranteed.

Common questions

Is there an automatic cancellation fee?

Use the cancellation terms agreed for the specific booking. This guide does not set a universal cancellation charge or alter a signed agreement.

Does an urgent request guarantee a replacement?

No. Suitable availability and the required checks and agreement still matter. The pharmacy also needs its own operational contingency arrangements.

Can a cancelled booking simply be transferred to another pharmacist?

Treat the replacement as a distinct proposed assignment. Confirm suitability, required evidence, terms and acceptance, and keep the original booking’s outcome recorded.
